Oakstand Equipment Reservation System

Using the System

Using the OakStand Equipment Reservation System is very easy.
Everything is handled through your browser -- both Administrative functions and normal usage and viewing

Typical Work Flow

1

A customer or producer calls you up to reserve some equipment items for 3 days next week.

(If this is a new customer or producer, you would first set up a New Customer record in the database)

2

You log in to the Reservation System, check the date to see if the equipment is available, and enter a reservation.

3

The customer shows up to check out the equipment.

You call up the reservation, enter the Check-Out date and time, print out the Check-Out form for the customer, and provide the equipment.

4

A few days later, the customer returns the equipment.

You call up the reservation and enter the Check-In date and time.

If you use the printed form, you can also make the Check-In entries on that form.

That's all there is to it !

What Else Can the ERS Do?

  • Call up various reports
  • Add new equipment to the database
  • Add new customers or producers
  • Print the reservation calendar (Standard Version only)
  • Use Printed Check In/Out Forms and/or Enter into the computerized system
  • Add or Change the Headers and Footers for the Calender page

What Can't You Do?

In the interest of truth-in-advertising, we must tell you that this is not an inventory-based system. In other words, this system does not keep track of the items in inventory -- you have to do this manually, or by simply checking the date that a customer wants to borrow an item to see if it is already checked out.

For organizations that do not have large quantities of items, this should not be a problem. It is easy to call up a report of your equipment, and then check the calendar to see if a particular item has been reserved.

If this is a problem for you, let us know, and we'll work with you to find a reasonable solution.
