OakStand Equipment Reservation System

Features

Usability
Add Reservation

Easy pop-up menu for adding reservations for time-periods, days, multiple days, and recurring reservations.

Edit/Delete One or All Occurrences of a Recurring Event When editing or deleting a recurring event you can specify whether or not you want to edit all the occurrences or just the one you have clicked on.

Check-In/Out

Record the date and time when equipment is checked out and in.

We also provide a Check-Out/In Form that you can print out if you want a paper-trail.  All information about the reservation is automatically entered into the form, or you can print out a blank form.

Email You can send email to your customers via the Reservation pop-up screen, a separate Email screen, or the Customer Reports.
Approve reservations Optionally, you can require Reservations entered by various people to be approved before listing.
Reports

Available Reports are::

Reservations:  select a data range to see all reservations in that range.

Equipment: show all, or by category

Customers:  show active, inactive, and new customers.

Administrators:  show all.

Month, Week, Day, and Year Views

Select the view that you want.  Month view is the default, but can be changed.

Days that contain more events than will fit in the box on the month view can be dynamically expanded to show all the events in that day by clicking a small "chevron" in the header bar of the days block.

Calendar can be printed by Month, Week, Day, or Itemized List

Dates & times

Day View Starts at 8:00am.

Default time is the 12-hour format, but you can change one variable in the file and all the times will be drawn in 24 hour format.

View Filtering Option You can use the event filter option to filter the calendar to only show reservations for only one category or a set of categories on the calendar at any given time.
Reservation Listing View The Reservation list view shows a complete listing for the current month and two months after. Great to see a shot of what is coming up in the next month or so.
Categories Set up various equipment categories such as Cameras, Tripods, or Multi-packs.  Assign a color to each category for easy viewing.
Equipment Add equipment to the database, with descriptions and barcodes, and assign to a category.
Customers or Producers

Full information on your customers or producers, including the ability to upload images or pictures of each customer.

The program automatically assigns customers to one of 3 categories for easy management:

  • Active:  within the past 6 months
  • Inactive: no activity within 6 months
  • New: Added in past 6 months, but no activity yet.

Technical
Administrators Allows for multiple administrators.  Administrators can add reservations for any customer.
Email You can send email to your customers via the Reservation pop-up screen, a separate Email screen, or the Customer Reports.
Web Based Configuration

You can setup all your preferences using a form online when logged into the calendar as the administrator... no need to edit any of the script files to set things up.

100% ASP Code No need to install any components to use the program since the code is also just asp. You get full access to the source code to make any modifications that you need to fit the use you have for the calendar.
Automatically Detects 3rd Party Email Components The script will automatically detect and display any of the supported 3rd party components that are installed on your server. This takes the guess work out of setting up the email functionality of the script.
Macintosh Version

Because the PC Version has some quirks that do not render well on some Macintosh computers, we have an alternate program for Mac users.

Because the Mac and PC programs both use the same database, the Reservation System is truly a multi-platform program.
